Privacy Policy

The short version: Valdris collects information to run the website, respond to enquiries, deliver diagnostic results, improve the service and send email marketing where you opt in. We do not sell your data.

Cookies, interactive tools and analytics

Use the Cookie settings button on any public page to accept, reject or change your choices. Interactive tools and demo analytics are off until you enable them. Rejecting analytics does not prevent you using tools. If you turn off interactive tools, AI conversations and embedded booking are unavailable; you can continue browsing and use our contact form. Turning tools off ends active embedded sessions by reloading the page. Email marketing is a separate, optional choice. Closing the first-visit notice does not enable optional services. Tab storage named vd_site_notice_dismissed keeps it hidden until this tab closes; you can reopen it through Cookie settings.

• Essential preferences: vd_site_consent remembers the consent version, your choices and the time you saved them for 180 days. It is needed to honour an opt-out. Security and account-session storage is also used when you explicitly sign in or request those services.
• Interactive tools: vd_demo_visitor is a signed cookie lasting 30 days. It enforces daily demo allowances with hashed visitor and IP identifiers. Short-lived demo records expire after 45 minutes and are removed after seven days; synthetic action events are removed after two days. ElevenLabs provides AI conversations and Cal.com provides embedded booking. Those integrations load only after you enable interactive tools and may use their own storage needed to operate. • Optional demo analytics: vd_analytics_visitor lasts 30 days. Tab storage named vd_demo_card_view:… prevents duplicate view counts during a browsing session. With analytics enabled, we record card viewed, demo opened, conversation started and conversation completed, with the demo name, page surface, timestamp and hashed visitor, IP and event identifiers. These records contain no transcript, message, name, postcode or work-order content and are removed after 90 days.

Withdrawing a choice stops future optional collection and removes the associated first-party identifier. Disabling analytics also removes the demo view markers in this tab. Previously collected records follow the retention periods above. If your browser blocks all cookies, we cannot remember your choices or enable tools that require them. Our hosting and security services still process requests needed to deliver and protect the website. Forms you choose to submit are processed for that request; newsletter retry information is kept in tab storage until submission succeeds or the tab closes.

Information we collect

Information you submit through forms, diagnostic responses, email details, website analytics, booking information, and information you choose to share with the AI assistant.

AI assistant

You can use the Valdris AI assistant by voice or text. ElevenLabs processes the conversation to provide the assistant. Audio is not saved for new assistant conversations. Conversation transcripts and related technical information may be retained for up to 30 days for follow-up, service quality, and security.

The assistant sends your contact details and an issue summary to Valdris only after you explicitly agree. Consented enquiries are processed through n8n and stored securely so we can respond. If you choose to book a call, booking details are processed by Cal.com. Please do not share passwords, payment-card details, health information, confidential client records, or other sensitive information with the assistant.

Optional demo marketing updates

At the beginning of each agent demo, we ask whether you would like Valdris email updates, news and offers about our AI and automation services. This choice is optional and separate from using the demo. If you opt in, we store the name and email you enter, which demo you used, the consent wording and version, and the date of your consent in our UK-hosted Supabase database. We rely on your consent for this email marketing. Your real contact details are collected through this form and are not passed to the demo AI agent.

If you continue without marketing, the form does not submit or save your name or email. Fictional contacts used inside the demo are not added to the marketing list. We retain opted-in contacts while the subscription is active and review them periodically. You can withdraw consent through the preference link shown after signup, the unsubscribe link included in marketing emails, or by emailing support@valdris.net. Withdrawal stops future marketing exports; we retain the minimum suppression and consent history needed to respect your choice and demonstrate the record. Ask us for access, correction or deletion at any time. Marketing signup rate-limit records contain only a hashed technical identifier and are removed after one day.

Interactive agent demos

Maya demonstrates one fictional London hotel booking, including optional reservations, arrival transfers and a sample hotel bill. Nora answers an outside customer’s invoice-payment call using published sample references and contact details. Theo uses a fictional calendar, previous meeting notes and sample business updates. Clara demonstrates a fictional aircraft charter enquiry under the Aveline brand. Bookings, payments, receipts and outgoing calls are simulated. The interactive walkthrough runs in your browser; refreshing or resetting it starts new sample records. When voice is connected, a short-lived session keeps the sample workspace in sync with the conversation. Do not share real card numbers, security codes, bank credentials, private contact details or confidential meeting notes.

Earlier fictional demo agents represent Copper & Clay Heating, Harbour & Pine Kitchens and Field & Found Property Care. Their records and actions are synthetic. For Nora, use only the published synthetic project references and last names, a first name or alias, and a short non-sensitive issue description. For Theo, use only the published work-order reference, matching four-digit demo engineer code and fictional closeout notes. Do not enter real customer details or payment information, and do not upload documents to any demo.

A signed usage-limit cookie and privacy-preserving hashed technical identifiers enforce the daily allowance. We do not store the conversation transcript in the Valdris database. Short-lived demo sessions are removed after seven days and synthetic action events after two days. ElevenLabs processes each live conversation under that demo agent's zero-retention configuration, with voice recording disabled.

How we use it

To send your report, respond to enquiries, improve the website, deliver consulting services, and operate and protect the AI assistant. We retain enquiry records only for as long as they are needed for those purposes or to meet legal obligations.
